Invite members to the member portal
OpenMat lets you invite members to use the member portal on their own phone, so they can see schedules, messages, progress, and other member-only content.

What the invite does
An invite code links a member's app account to their member record in your academy. Once linked, the member can use the member portal without staff needing to create a separate app login for them.
You can invite one member from their profile, invite all members by email from Messages, or share an academy join code when you want members to join themselves.
Invite one member
- Open the Members tab.
- Choose the member you want to invite.
- Tap Invite to App on the member profile.
- Copy, share, or email the invite code shown on screen.
- Ask the member to install OpenMat Members and enter that code.
If the member is already linked to an app account, OpenMat shows that status instead of sending another invite.
Invite all members by email
Use this when your member list already has email addresses and you want to invite everyone who has not joined the app yet. OpenMat sends each member their own invite code.
- Open Messages.
- Create a new message.
- Choose Email.
- Set recipients to All Members.
- Choose the Member App Invite template.
- Review the recipient count and send the invite email.
Members who have already joined are left alone. Members without an email address will need a personal invite code or the academy join code instead.
Invite a group with the academy join code
For group onboarding, use the academy join code. This is useful when you want members to join from a poster, front desk tablet, class announcement, or welcome email.
- Open the main organisation tab: Academy, Studio, Box, Gym, or Club.
- Find the Member App section.
- Tap Academy Join Code.
- Share the code or ask members to scan the QR code.
- Members install the app, sign in, and redeem the code.
What members do
- Install OpenMat Members from the App Store, or use the Android beta link if your academy shares it.
- Create an account or sign in.
- Choose the invite-code option when joining an academy.
- Enter the code from your coach.
- Add your name if the app asks for it, then tap Redeem Invite.
If a member scans the QR code, OpenMat opens the join flow directly when possible. If the app is not installed yet, they can install it first and then use the same invite code.
What members can use after joining
- View the academy schedule.
- Check attendance and progress.
- Read academy messages.
- Open shared media posts, if your academy uses the Media Library.
- Manage profile details and check-in PIN where available.
Frequently asked questions
What if a code does not work?
Check that the member entered the latest code exactly as shared. If needed, generate a fresh invite from the member profile or share the academy join code again.
Should I use a personal invite or academy join code?
Use a personal invite when you want to link a specific member record. Use the Member App Invite template with All Members when you want to email everyone who has not joined yet. Use the academy join code when you want members to join from a shared code or QR code.
Why can't I see the invite option?
The member app invite tools appear when the Member App and Invites features are available for your organisation.
